How do I back up my data? |

Page 18 in the Manual has instructions on how to back up and restore
your data but put simply you can use the backup restore utility (Start
-> All Programs -> Vending Essentials -> Backup/Restore)
or you can save your data yourself. All of the data is stored in one
convenient file in your program directory. You just need to backup
this database file like you would any other file in order to backup
and keep all of your data safe. You can copy the file to a CD, external
hard drive, USB jump drive, ZIP disk, or any other media that has
enough space to hold your database file. The database file is stored
in the program directory where VE installed and it is called sweet.db |

I keep backing up my sweet.db database file
and I'm noticing that the size does not change? |
 |
|
The database file does not expand everytime you add data to your
database because it expands in increments or chunks. What happens
is when the database expands it makes sure it gets enough free space
inside it so it can keep adding data without having to expand every
time. This helps it run faster and not have to worry about expanding
every time you start your software. When the free space that it initially
created fills up it will expand in another chunk and grab enough free
space so that it can keep going for a while and not have to expand. |

How can I check to see if my backup of the
database file is really working? |
 |

The best way to verify that your data is being backed up is to restore
that database file and then open VE and look at the data. You can
use the Backup Restore utility (Start -> All Programs -> Vending
Essentials -> Backup/Restore), or just copy your backup file back
into your vending essentials folder manually but BEFORE you do anything
BACKUP your current sweet.db file (see the 'how do I back up my data?'
Q&A). Once you have your current database safely backed up either
by copying it to somewhere else or just renaming it temporarily, copy
your backup file, or restore it, into your vending essentials program
folder. Make sure your backup database file is named sweet.db if you
restore it manually. Then start VE and see if your data looks correct.
After that restore your current database file to get back to where
you started. That is good practice for performing backup and recovery. |

How many machines can the software track? |
 |
|
Unlimited on all desktop versions, or as many as your computer has
memory to hold. |

What is the password? |
 |
|
The software is set with a default password of "vendor".
This password can be changed or removed by choosing "Change Password"
from your main menu. In your File -> Preferences setting you can
choose to turn the password off if you wish. |

What else do I need to run the software? |
 |
|
Nothing... All you need is a computer or laptop running Windows
98, 2000, or XP with 20MB of free hard drive space. We recommend 32MB
of RAM, and a Pentium 100 or greater, but the software will run on
a 486 as well albeit much slower. The software runs extremely fast
on the newer machines of today. |

Can multiple computers access the software,
like on a network? |
 |
|
Yes, all versions of the software will work fine on a network, however,
out of the box VE will only allow one user at a time to log into the
database. For multiple concurrent users, give us a call. |

How do I network the software as it is out
of the box? |
 |
|
Since the database is a fully compliant ODBC relational database
it uses the ODBC settings on each of the client computers to know
how it should connect. To redirect VE to use a database on a network,
first make sure that each client machine can connect to the network
server and that each client has read/write access to the area on the
server where the database file will be stored. Next, map a drive letter
on each client machine to the database location on the server. It
is much nicer for you if you make this drive mapping a permanent one.
Once you have a drive letter mapped to the server and the appropriate
rights enabled copy the database file (sweet.db) to the server. This
file installs to the program directory on the client machine by default.
Now you can go into the ODBC settings of each of the client machines
(Start -> Control Panel -> Administrative Tools -> Data Sources
(ODBC)). Click on the System DSN tab, highlight the Sweet datasource
in the datasource list and click Configure. On the next window go
into the Database tab and find the 'Database file' field. You can
use the browse button to navigate to the sweet.db file on the server
using the mapped drive letter. The next time you start VE it will
look at these ODBC settings and start using the database file on the
server. If all of the clients are mapped and configured to use this
same file then they will all be looking at and sharing the same data. |

Can I keep several different databases with
one copy of the software and keep them seperate? |
 |
|
The Vending Essentials software uses and is installed with a fully
relational ODBC compliant database. The database file that stores
all of your information is called sweet.db and is located in the folder
where VE was installed (C:\Program Files\SoftEssentials\Vending Essentials).
In order to change the location of the database file that VE uses
you simply need to alter the ODBC settings for the Sweet datasource.
This will allow multiple installations of VE to use or share one database
or one installation of VE to access multiple databases. The database
files can reside on a server, or a portable media device (zip disk,
external drive, USB jump drive, Flash card, etc.).
To alter the ODBC settings on Win2K or XP go to the Data Sources
section within the control panel (Control Panel -> Administrative
Tools -> Data Sources (ODBC)). Once there click on the System
DSN tab at the top of the window to list the system datasources.
Find the datasource called Sweet and click to highlight it, then
click the configure button. At the top of the next window click
the Database tab and look for the field called Database file. When
VE launches it uses the path in this field to find the sweet.db
file. You can use the browse button to change the path to the new
location of the sweet.db file. Make sure that the users who will
be using this computer will have access to read and write to this
new location and that this location will be available when you launch
VE or you will get an error that the database file can not be found.
After you change the path to the new location click OK to close
this window, then click OK to close the ODBC Datasource Administrator
window.
The next time you start VE it will use the new location path to
find the sweet.db file. If that new path is going to a USB jump
drive or interchangable flash card slot, then all you need to do
is switch the flash card or the jump drive that has a different
database and start VE to see that databases data.

Is there a way to move the database between
computers? |
 |
|
You can put your database file on a portable storage media like
a zip disk, jump drive, external hard drive, etc. Then configure your
ODBC settings just like you would for networking (answered above)
so that your ODBC settings are pointing to the portable device for
your database location. Then when you start VE it will use the database
on your portable device which can then be moved around between computers. |

I have a new computer, how do I move my software
and my data to the new computer? |
 |
|
All you will need to do is FIRST, install the software on your
new computer. That will install a blank database on the new computer
too. It is important that you install the same version of the software
on the new computer that you are currently using on the old computer.
If you want to upgrade too, first install the software version you
had on the old computer, perform the second step which is moving
your data, then run your upgrade. You need to perform the steps
in this order so that the software and the database file stay in
synch. You will get errors if you upgrade your software first and
then restore an older database file to the upgraded software.
SECOND you will need to move your data. If you have read any of
the other FAQ's you are getting tired of hearing that the data is
contained in one file named sweet.db. This file is located in the
directory (folder) where you first installed vending essentials.
The default install location is C:\Program Files\SoftEssentials\Vending
Essentials\sweet.db. Find this file on your older computer. This
file will have all of your data. Then copy it to a CD, jump drive,
floppy disk (if it will fit), or some other media (you could even
email it to the new computer). Once you get your old sweet.db file
to the new computer just copy it into the directory (folder) where
you installed vending essentials. There will already be the blank
sweet.db that the install put there so you will need to overwrite
the blank file or delete it before you copy your sweet.db with your
data. Make sure you keep your database file named sweet.db. Unless
you change this in your ODBC settings the software will be looking
for the database file named sweet.db
Once you have copied your databse file to your new computer you
should be ready to go. The password you used to login to the software
is stored in the database file. So whatever password you used on
your old computer will be the password you need for you new computer
too. The Registration information can not be copied so you will
need to re-register your software which will require a reset of
your invoice number through Soft Essentials Support. Send email

How do I start the Real-time Tutorials? |
 |
|
With the program running, make sure that you have all of the Search
and Detail windows closed, and that you have the CD in your CD-ROM
drive. Then click on help in the main menu. Select Tutorials. Then
choose the specific tutorial you would like to see.
If however you have downloaded the software, then you can download
additional tutorials from www.vendingessentials.com/tutorialslink.html
page. There are easy instructions for downloading and installing
the tutorials into your VE software.

The tutorials pause and the video gets out
of synch with the audio. |
 |

The tutorials are run with a separate application called Screen
Cam. The 'pausing/out of synch' issue can happen in Windows 95/98
when working memory begins to get scarce. To correct the problem,
remove (delete) all of the temporary files stored in C:\Windows\Temp.
If the problem persists then edit the C:\Config.sys file and set Files=60
and Buffers=60. |

How do I change the number of selections or
products in my machine? |
 |
|
With the current versions of VE, just change the number of selections
on your machine detail. VE will update your machine and show the new
columns or selections. If you remove selections from it and you currently
have product in those selections VE will let you know. |

I was entering information in a detail window
and when I pushed enter my screen cleared out. What happened? |
 |
|
When you push the enter key, the program saves or enters your data
into the database and clears the screen so that you can enter the
next item. The tab key is what moves you from field to field. If you
were not yet ready to save your information no need to worry. You
can bring up the information that you have already entered in the
search window and then continue to add the information you want. |
